What is Heidi Health?

Heidi Health is a secure, AI-powered system that acts as a digital assistant for our doctors, nurses, and other healthcare professionals. During your consultation, Heidi Health listens to the conversation between you and your clinician, and then automatically generates a detailed, accurate summary of your visit.

Think of it like having a highly efficient and accurate note-taker in the room, allowing your clinician to focus entirely on you, rather than on typing notes.

● Consent is Key: We will always ask for your verbal consent at the start of your consultation

if we intend to use Heidi Health. You have the right to decline its use, and this will in no way affect the quality of care you receive from us. Your clinician will simply take notes manually, as they always have.

● Strict Compliance: In using Heidi Health, we comply in full with our duties under the Data Protection (Jersey) Law 2018. This ensures your personal health information is handled with the utmost security and confidentiality.

● Data Location: All data processed by Heidi Health for Health Plus Surgery is securely hosted within the UK, further enhancing compliance with local data protection regulations.

● Pseudo-Anonymisation for Added Security: To further protect your privacy, Heidi Health employs pseudo-anonymisation. This means that identifiable information (like your name, date of birth, and specific address) is automatically removed or replaced with a unique identifier by Heidi before the data is processed by the AI. This ensures that the content of your consultation is processed without directly identifying you, while still allowing your clinician to review and attribute the correct notes to your record.

● Temporary Audio, Limited Written Transcription Storage, Permanent Notes: Heidi Health temporarily processes the audio from your consultation to generate the notes. The actual audio recordings are not stored permanently by Heidi Health. The written transcription generated by Heidi will only be stored on the Heidi platform for a maximum of 7 days. Once the notes are generated, reviewed, and approved by your clinician and transferred to your official medical record at Health Plus Surgery, the temporary audio and the transcription on Heidi are deleted, safeguarding your data's privacy and security.

● Clinician Oversight: The notes generated by Heidi Health are drafts and are always thoroughly reviewed, edited, and approved by your clinician before being saved to your official medical record. The AI does not make any clinical decisions or offer medical advice.

Q1: Do I have to consent to the use of Heidi Health AI?

A: No. Your consent is entirely voluntary. Before using Heidi Health, your clinician will ask for your permission. If you prefer not to have it used, simply let your clinician know, and they will take notes manually. Your decision will not affect the quality of your care.

Q2: Can I change my mind about using Heidi Health during my consultation?

A: Yes, absolutely. You have the right to withdraw your consent at any time, even after the consultation has started. Just inform your clinician, and they will switch to manual note-taking.

Q3: Is my personal information secure with Heidi Health?

A: Yes. Heidi Health is built with robust security measures and complies with strict data protection regulations, including the UK GDPR and Jersey's Data Protection (Jersey) Law 2018. Your data is encrypted and processed in a secure environment. All data generated for Health Plus Surgery is hosted within the UK. Furthermore, Heidi Health uses pseudo-anonymisation to protect your identifiable information during processing.

Q4: Does Heidi Health store audio recordings of my consultation?

A: No. Heidi Health only processes the audio temporarily to generate the written notes. The audio recordings themselves are not stored permanently.

Q5: Will Heidi Health replace my doctor or nurse?

A: No, not at all. Heidi Health is a tool to support our clinicians, not replace them. It frees up their time from administrative tasks so they can focus more on you and providing the best possible medical care. The AI does not provide diagnoses or clinical advice.

Q6: What happens if Heidi Health makes a mistake in the notes?

A: The notes generated by Heidi Health are always reviewed and approved by your clinician. They will check for accuracy and make any necessary edits before the notes are saved to your medical record. If you wish, you can also ask to see the generated notes before they are finalised and added to your clinical record. This ensures that only accurate information is kept.

Q7: How long is the written transcription stored on the Heidi platform?

A: The written transcription generated by Heidi Health will only be stored on the Heidi platform for a maximum of 7 days. Once the notes are approved by your clinician and transferred to your secure medical record at Health Plus Surgery, the transcription on Heidi is deleted.
